Editing and Proofreading

First of all, is there a difference between editing and proofreading? In contrast to what most people believe, there are actually significant differences between the two exercises.

Proofreading involves checking for and correcting spelling, grammar and punctuation errors as well as ensuring that the document’s format (capitalisation, spacing, font size, etc.) is consistent throughout.

Editing, on the other hand, entails all the elements of proofreading in addition to larger issues such as clarity, sentence and paragraph structure and overall style.

You may be questioning the necessity of hiring a professional to proofread and edit your work these days, as the Internet teems with free dictionaries, thesauruses and style guides – not to mention Microsoft Word’s trusted spellchecker!

Whereas all these tools are undeniably helpful and valuable, you must understand that they are not foolproof, and will thus only take you so far. Consider the following example: Word’s spellchecker recognises both “their” and “they’re” as perfectly acceptable English words – as they are – and will thus not alert you if you inadvertently typed the one instead of the other.

Furthermore, while there may be a world of difference in meaning between “cat” and “cot”, in black and white, it all boils down to your choice of vowel. Word’s spellchecker will not pick up on this potentially disastrous error, as both words are entirely acceptable.

Professional proofreaders and editors are familiar with “common errors” – from spelling and grammar to tone and style – and thus know exactly what to look for.
